Why Apostille?

Since January 11, 2024, Canada is a member of the Hague Apostille Convention. A single apostille certificate replaces the older two-step consular legalization for use in 120+ member countries.

What we do

We act as your end-to-end agent for Canadian document authentication. Our team reviews each document for the destination country's requirements, arranges any notarization needed, and submits the file to the correct authority — Global Affairs Canada for federal documents, or the relevant provincial authority (BC, Alberta, Ontario, Quebec, Saskatchewan) for provincially issued documents.

Once the apostille is issued, your originals are returned by tracked courier. If the destination country also requires a certified translation, we can arrange it through our in-house translation team so the entire package is delivered ready to use.

How it works

    Tell us the document, destination country, and intended use. We confirm the correct authentication path and whether translation is required.

  2. 2. Send your documents

    Mail or drop off your original documents. We do an intake check to make sure they meet the issuing authority's requirements.

  3. 3. Notarization (if needed)

    For documents that need to be notarized before apostille (e.g. power of attorney, copies of passports, corporate documents), we arrange a Notary Public.

  4. 4. Submit for apostille

    We submit to Global Affairs Canada or the appropriate provincial authority and track the file daily.

  5. 5. Return delivery

    Apostilled documents (plus certified translations if ordered) are couriered back with tracking, or available for pickup.

Required materials checklist

Please prepare the following before submitting. We'll confirm the exact list for your case after the initial consultation.

Identification

  • Government-issued photo ID (passport, PR card, or driver's licence) — copy
  • Applicant's full legal name and current mailing address
  • Contact phone and email

Original document(s)

  • Original Canadian-issued document, or a certified true copy from the issuing authority
  • Must be in good condition, with original signatures and seals visible
  • Recently issued long-form versions are recommended (e.g. long-form birth certificate)

Destination details

  • Destination country (and city, if known)
  • Intended purpose (e.g. marriage registration, study, employment, immigration, business)
  • Any specific requirements provided by the receiving institution

Optional but helpful

  • Letter from the receiving party stating what is required
  • Existing certified translations (if any)
  • Power of attorney or authorization letter for representatives

Which countries accept the apostille?

All Hague Convention member countries (120+), including China (effective Nov 7, 2023), the EU, UK, Australia, Japan, South Korea, and many others.

Do I need a translation as well?

Some destination countries require a certified translation in addition to the apostille. We can arrange certified translations through our Translation service.

Can you handle documents from any province?

Yes. We coordinate authentication through Global Affairs Canada for federal documents and through the appropriate provincial authority for documents issued provincially.
